Geocode & Map – Privacy Policy
Last updated: 22 October 2026
Geocode & Map ("the add-on") is a Google Sheets add-on made by Squareworks, a sole-trader business based in London, United Kingdom ("we", "us"). Contact: support@squareworks.dev.
In short:
- We run no server, and we never see your spreadsheets.
- We don't sell or share your data, and we don't use tracking or advertising.
- Your data goes only to the mapping service that the feature you choose needs.
What the add-on can access
- Only the spreadsheet you open it in. It reads the columns you choose (addresses, coordinates, names, categories) and writes results back as new columns or a map image. Google's permission system stops it from opening any other file.
- Nothing else in your Google account. It can't read your email, contacts, calendar or Drive.
Where your data is sent
Data is sent only when you use a feature, and only what that feature needs. It goes directly from Google's Apps Script servers to the service below; it never passes through us.
| When you use… | What is sent | Sent to |
|---|---|---|
| Geocode with Google, the formulas, travel distances, distance from a place, maps | The addresses, places or coordinates in the columns you chose | Google, through Apps Script's built-in Maps service (Google Privacy Policy) |
| Geocode with US Census | The addresses in the column you chose | The US Census Bureau geocoder, in the United States |
| Geocode with UK postcodes | Only the postcode found in each address, not the rest of the address | postcodes.io |
| Geocode with your own Google API key (Pro) | The addresses, and your API key | Google Maps Platform, under your own Google Cloud account and its terms |
| Pro licence checks (at activation, then at most once a day) | Your licence key, and a random label for this Google account such as "Google Sheets 0f8fad5b" | Our payment provider, Polar or Lemon Squeezy |
Names and categories you choose for a map are only shown to you in the map window; they are not sent to any service.
What is stored, and where
These are kept in your own Google account, in the add-on's private settings storage (Apps Script "user properties"). Only the add-on, running as you, can read them; we can't.
- Your settings: units, country bias and preferred geocoder.
- Your own Google API key, if you add one.
- Your licence key and the provider's activation ID.
- When your licence was last confirmed, and the email address it was bought with. The email is shown so you can tell which licence is active.
- A count of rows processed today, used for the free plan's daily limits. Earlier days' counts are deleted automatically.
Temporary copies held by Google:
- The last map you made: up to 30 minutes.
- Formula results, in the spreadsheet's own cache: up to 6 hours.
Results written into your spreadsheet stay there until you delete them, like anything else in the sheet.
To delete what the add-on stores, open the Pro tab and click Delete my settings, API key and licence from this add-on. Do this before uninstalling if you want them gone. Today's row count remains until it expires tomorrow, so the free daily limit can't be reset this way.
What we receive
- If you buy Pro.
- Our payment provider (Polar or Lemon Squeezy) is the merchant of record: it takes the payment, handles tax and issues your licence key.
- We receive your name, email address, country and order details from it, so we can provide Pro and support. We never see your card details.
- The provider's own privacy policy covers the payment.
- If you email us. We keep your email address and message so we can answer you.
The add-on itself contains no analytics, tracking, cookies or advertising.
Why we use it, and for how long
- Providing the add-on and Pro is necessary to perform our contract with you.
- Order records are kept for as long as UK tax law requires us to keep business records.
- Support emails are kept for up to two years after the conversation ends, in our legitimate interest in helping you.
Google user data
Geocode & Map's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Data from your spreadsheet is used only to provide the features you choose. It is not:
- sold;
- used for advertising;
- used to train AI or machine-learning models;
- read by people, unless you ask us to help with a problem and share it with us.
Your rights
You can ask us for a copy of the personal data we hold about you (order and support records), or ask us to correct or delete it, by emailing support@squareworks.dev. If you're unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office at ico.org.uk.
Other things to know
- International transfers. Google, our payment provider and the US Census Bureau may process data outside the UK, including in the United States.
- Children. The add-on is not aimed at children under 13.
- Changes. If this policy changes, the new version will be posted here with a new date. If a change is significant, we will say so in the add-on.
